Location: Head Office - Kampala
Contract: July - December 2026 (3-month probation and renewable based on the evaluation)
Purpose
Administration Manager will support and manage day-to-day administrative operations in line with Good Neighbors practices, ensuring the effective running of the office, and supporting colleagues to ensure programmes are delivered efficiently and generate impact aligning with the organization’s policies and guidelines. The Administration Manager will undertake the following tasks and responsibilities.
Accountability & Responsibilities: Admin Manager
Administration Manager Responsibilities:
● Supervising the day-to-day operations of the administrative department and staff
● Hiring, training, and evaluating employees, and taking corrective action when necessary
● Developing, reviewing, and improving administrative systems, policies, and procedures
● Ensuring the office is stocked with necessary supplies and all equipment is working and properly maintained
● Working with an accounting and management team to set budgets, monitor spending, and process payroll and other expenses
● Planning, scheduling, and promoting office events, including meetings, conferences, interviews, orientations, and training sessions
● Collecting, organizing, and storing information using computers and filing systems.
● Overseeing special projects and tracking progress towards company goals
● Building new and expanding existing skills by engaging in educational opportunities.
● Ensures the filing of returns to all the Government regulatory bodies
● Ensure the smooth and adequate flow of information within the company
● Ensuring compliance with the government of Uganda and Good Neighbors
● Managing logistics and procurement
● Monitoring, evaluating, spot checking, and auditing the performance of staff and teams
● Conducting disciplinary action when necessary
● Managing and operating various committees
● Managing support staff activities
● Managing the organization’s assets and logbooks
● Communicating with stakeholders and headquarters, and submitting donors’ requirements and reports promptly and with quality assurance
Qualifications:
● Bachelor’s degree in a relevant field of Business, Administration, Commerce, Entrepreneurship, Business Studies, Economics, Procurement and Logistics Management, Human Resources, Organization’s development (Master’s degree in a relevant field is an added advantage) is also an added advantage
● Fluent written and spoken command of English and local languages is an added advantage (Luganda)
Experience
● Minimum 10 years of full-time paid professional experience in managing day-to-day administrative operations in line with Good Neighbors practices, ensuring the effective running of the office, and supporting colleagues to ensure programmes are delivered efficiently, generate impact
● Excellent organizational, interpersonal, and communication skills.
● Familiarity with SNS and the Microsoft Office package
● Previous work experience in development work, preferably with international development partners, government, and non-government agencies
Abilities and skills
● Ability to work efficiently in a multi-cultural environment with team spirit
● Ability to prioritize tasks and multi-task under tight deadlines in a fast-paced work environment
● Ability to adapt and exercise flexibility to changing situations and complete the necessary office administrative tasks
● Knowledge of Uganda taxation and registration, including payroll taxes, VAT, WHT, and corporation tax
● Excellent IT skills with good experience in operating computer-based documentation and data & information management. Competent to advanced level in Microsoft Excel
● Willingness and ability to take the initiative not only in identifying problems but also in suggesting and implementing solutions
