Position: Logistics Manager
Reports to: Operations Manager
Position Summary:
The Logistics Manager at Rustic Organic oversees all supply chain operations, including transportation, warehousing, inventory, and export logistics. The role ensures efficient, compliant, and cost-effective movement of chia and sesame seeds from sourcing to international markets. The Logistics Manager leads the logistics team, manages supplier and partner relationships, coordinates with internal departments, and ensures timely order fulfillment while maintaining high standards of quality, compliance, and customer satisfaction.
Roles and Responsibilities
1. Logistics & Transportation Management
● Oversee all transportation activities including inbound, outbound, domestic, and international shipments.
● Select, negotiate, onboard, and manage carriers, freight forwarders, shipping lines, and customs agents.
● Optimize freight routing, load planning, consolidation, and transport modes to reduce cost and improve lead times.
● Ensure full compliance with customs, export regulations, international trade laws, and country-specific documentation.
● Oversee container booking, VGM & SI submission, BL approvals, and shipping documentation accuracy.
● Monitor transit performance, demurrage, detention, and ensure timely clearing and delivery.
2. Warehouse & Inventory Management
● Manage end-to-end warehouse operations including receiving, storage, handling, picking, dispatch, and loading.
● Implement, monitor, and continuously improve warehouse operating procedures.
● Drive inventory optimisation strategies to ensure correct stock levels, eliminate variances, and support production/export plans.
● Maintain high levels of inventory accuracy through stock counts, reconciliations, cycle counts, and audit controls.
● Ensure warehouse safety, hygiene, security, pest control, and regulatory compliance in all facilities.
● Oversee capacity planning for warehouse space, racking, layout, and material flow improvements.
3. Supplier, Vendor & Partner Management
● Build and maintain strong relationships with suppliers, carriers, logistics partners, and service providers.
● Negotiate contracts, pricing agreements, and service-level agreements to secure favourable terms.
● Monitor supplier and service provider performance, ensuring adherence to KPIs.
● Oversee procurement of logistics-related services, consumables, packaging, and operational materials.
● Resolve supplier issues, delays, quality problems, and escalate high-risk matters when required.
4. Planning, Coordination & Operations Control
● Develop and execute supply chain plans aligned with production, sales, and export schedules.
● Coordinate with production, quality, and commercial teams to ensure seamless material flow and shipment readiness.
● Manage order fulfilment and ensure on-time delivery to customers, including special requirements for export markets.
● Oversee demand planning and material planning processes to avoid stockouts or overstocking.
● Manage reverse logistics (returns, reprocessing, repairs, recycling) where applicable.
5. Compliance, Documentation & Risk Management
● Ensure full compliance with company policies, regulatory standards, environmental requirements, and international trade laws.
● Oversee documentation accuracy for local and international shipments (BL, AWB, COO, Phytosanitary, Certificates, Invoices, Packing Lists).
● Conduct risk assessments for logistics operations and develop mitigation plans for delays, quality issues, or supplier failures.
● Manage insurance claims for cargo damage, losses, or transit-related incidents.
● Ensure adherence to health & safety regulations across all logistics and warehouse operations.
6. Team Leadership & Development
● Lead, coach, and motivate the logistics and supply chain team to achieve high performance.
● Define clear departmental roles, KPIs, and performance expectations.
● Conduct regular performance reviews and support professional development through training and mentoring.
● Build a strong culture of accountability, teamwork, and continuous improvement.
7. Reporting, Analysis & Communication
● Prepare and present weekly, monthly, and quarterly supply chain reports to senior management.
● Analyse logistics costs, freight spend, warehouse performance, inventory trends, and supplier performance.
● Provide timely updates to internal teams (sales, operations, quality, finance, production) to ensure alignment.
● Serve as the primary point of contact for all logistics and supply chain matters internally and externally.
● Facilitate cross-functional collaboration to resolve operational challenges and improve overall supply chain performance.
8. Customer Relationship Management
● Act as the primary supply chain liaison for key customers.
● Provide timely shipment updates, proactively manage delays, and resolve logistics issues.
● Ensure customer requirements (specifications, timelines, documentation) are met consistently.
● Maintain high customer satisfaction through responsive communication and service excellence.
● Gather customer feedback and translate it into operational improvements
