MISSION STATEMENT
To oversee operational human resource management—including personnel administration, payroll coordination, talent acquisition, and employee development—in strict compliance with local labor laws and organizational policies. Additionally, this role provides high-level executive and administrative support to executive leadership and collaborates with Finance on general site services.
KEY DUTIES & RESPONSIBILITIES
1. Personnel Administration & HR Compliance
- Manage employee lifecycles end-to-end, from onboarding to offboarding (including personnel files, employment contracts, contract amendments, and status updates).
- Monitor, track, and manage employee leave, absences, and attendance records.
- Prepare, audit, and submit accurate payroll inputs according to the monthly schedule, investigating and resolving any variances or discrepancies.
- Handle statutory social security filings and manage cases involving workplace injuries, insurance claims, or occupational health.
- Develop, update, and maintain comprehensive job descriptions across all organizational roles.
- Maintain employee records to ensure strict compliance with Ugandan labor laws and internal guidelines.
2. Talent Acquisition, Onboarding & Development
- Lead operational recruitment in coordination with hiring managers, managing processes from job posting and screening to final candidate selection.
- Draft employment contracts, assemble hire files, and deliver structured onboarding programs to ensure seamless integration for new team members.
- Support the creation and execution of the annual staff training plan, monitoring progress and measuring training effectiveness.
- Organize internal staff engagement initiatives, including team-building events, general meetings, and company celebrations.
3. HR Analytics & Strategic Projects
- Generate monthly HR dashboards and reports covering key operational metrics (headcount, absenteeism, turnover, and labor costs).
- Assist in drafting, updating, and rolling out internal HR policies, employee handbooks, and standard operating procedures (SOPs).
- Contribute actively to the rollout of strategic HR and organizational development projects.
4. Executive & Administrative Support
- Manage executive calendars, coordinating meetings, appointments, domestic/international travel, and priority tasks.
- Handle executive correspondence (mail, phone calls, briefing materials, and meeting documentation).
- Draft official documentation, reports, and memos on behalf of Executive Management.
- Oversee document management systems to ensure secure filing, archiving, and strict confidentiality of sensitive corporate records.
- Support the preparation of board and shareholder meeting packs, helping maintain official corporate registers.
5. General Services & Visitor Management
- Coordinate itinerary planning, travel logistics, and accommodation for visiting regional leadership, corporate auditors, and external partners.
- Serve as the primary professional point of contact for executive visitors, clients, and key stakeholders.
- Work alongside the Finance and Operations teams to manage office logistics, supplies, and general site services.
REQUIRED QUALIFICATIONS & EXPERIENCE
Education: Bachelor’s Degree in Human Resource Management, Business Administration, Law, Executive Secretariat, or a closely related discipline.
Experience: Minimum of 3 years of proven experience in personnel administration, human resources, or executive assistance, ideally combining strong HR and administrative capabilities within a fast-paced environment (FMCG, manufacturing, or distribution experience is an asset).
Regulatory Knowledge: Deep understanding of Ugandan labor laws, statutory social security frameworks, and HR best practices.
Technical Skills: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with HR Information Systems (HRIS) or payroll software is a strong advantage.
