Job summary

The Shift Leader is responsible for supervising and coordinating all production activities during an assigned shift to ensure that poultry and swine feeds are manufactured safely, efficiently, consistently, and according to approved formulations, quality standards, and production targets. The Shift Leader will coordinate production workers, monitor machinery and production processes, maintain accurate production records, enforce safety and hygiene standards, identify and report equipment or production problems, and ensure proper handover to the incoming shift.

2. JOB PURPOSE
The Shift Leader is responsible for supervising and coordinating all production activities during an assigned shift to ensure that poultry and swine feeds are manufactured safely, efficiently, consistently, and according to approved formulations, quality standards, and production targets. The Shift Leader will coordinate production workers, monitor machinery and production processes, maintain accurate production records, enforce safety and hygiene standards, identify and report equipment or production problems, and ensure proper handover to the incoming shift.

3. KEY RESPONSIBILITIES
A. Production Management
1. Plan and coordinate daily production activities according to the approved production schedule.
2. Ensure production targets are achieved within the allocated shift.
3. Ensure all feed is produced strictly according to approved formulations and batch instructions.
4. Monitor the production process from raw-material preparation, grinding, batching, mixing, pelleting/crumbling where applicable, cooling and packing through to finished-product storage.
5. Ensure correct quantities of raw materials are weighed and used in each batch.
6. Monitor production output, efficiency, wastage and product losses.
7. Identify production delays and take appropriate corrective action.
8. Ensure production processes are carried out according to approved Standard Operating Procedures (SOPs).
9. Ensure proper sequencing of production to minimize contamination and unnecessary cleaning or changeover time.
10. Immediately report major production challenges to the Production Manager or Factory Manager.

B. Supervision of Staff
1. Allocate duties to workers at the beginning of each shift.
2. Supervise production workers and ensure they perform their assigned responsibilities properly.
3. Monitor attendance, punctuality, and discipline of shift employees.
4. Ensure adequate staffing throughout the shift.
5. Train and guide employees on correct production procedures and safe machine operation.
6. Address minor disciplinary and performance issues and escalate serious cases to management.
7. Promote teamwork, professionalism, and good communication among shift employees.
8. Ensure workers do not leave their workstations without proper authorization or replacement.
9. Conduct shift briefings and communicate production priorities and safety requirements.

C. Machinery and Equipment
1. Ensure production machinery is operated correctly and safely.
2. Monitor the performance of equipment during the shift.
3. Identify unusual machine sounds, overheating, vibration, blockages, or other signs of malfunction.
4. Report machine breakdowns immediately to the Maintenance Department.
5. Coordinate with maintenance personnel during machine repairs.
6. Ensure machines are properly cleaned and prepared for production.
7. Monitor machine downtime and record the causes.
8. Ensure operators carry out routine checks and basic maintenance as instructed.
9. Never allow employees to operate machinery in an unsafe condition.

D. Quality Control and Feed Safety
1. Ensure all production is carried out according to approved feed formulations and quality standards.
2. Prevent contamination and cross-contamination between different feed products.
3. Ensure correct identification and handling of raw materials and finished products.
4. Monitor compliance with Good Manufacturing Practices (GMP), HACCP requirements, and company quality procedures.
5. Immediately report any quality deviation or suspected contamination.
6. Ensure rejected or non-conforming products are properly identified, isolated, and reported.
7. Work closely with the Quality Control/Quality Assurance Department.
8. Ensure production samples are collected as required.
9. Ensure correct labelling, batch identification and traceability of finished feed.
10. Ensure employees maintain proper personal hygiene and wear the required protective equipment.

4. KEY PERFORMANCE INDICATORS (KPIs)
The Shift Leader's performance will be measured against:
1. Achievement of production targets – planned tonnes versus actual tonnes produced.
2. Production efficiency – effective utilization of labour and machinery.
3. Machine downtime – reduction of avoidable downtime.
4. Production wastage – maintaining wastage within approved limits.
5. Batch accuracy – adherence to approved formulations and batch sheets.
6. Product quality – minimizing production-related quality deviations.
7. Safety performance – compliance with safety procedures and reduction of incidents.
8. Housekeeping – maintaining a clean and organized production environment.
9. Staff discipline and attendance – effective management of shift employees.
10. Record keeping – accurate and timely production documentation.
11. Raw-material control – minimizing losses, misuse, and unexplained variances.
12. Shift handover quality – complete and timely communication between shifts.
13. SOP compliance – ensuring production staff follow approved procedures.

6. QUALIFICATIONS AND EXPERIENCE
Minimum Qualifications
  • Diploma or Certificate in Animal Science, Animal Production, Food Science, Agricultural Engineering, Mechanical Engineering, Production/Manufacturing or a related field.
  • At least 2 years of relevant experience in a manufacturing, feed mill, food processing, or agricultural processing environment.
  • Previous experience supervising production staff is an added advantage.
  • Knowledge of animal feed manufacturing processes is highly desirable.
  • Basic computer skills, particularly Microsoft Excel and production reporting systems.
