Job descriptions & requirements

Key Responsibilities

Payroll Processing


  • Accurately compute and process monthly payroll for all employees, including wages, salaries, overtime, bonuses, commissions, and allowances
  • Validate payroll inputs, reconcile net pay monthly, and ensure error-free processing
  • Manage payroll for a diverse workforce including frontline staff, functional staff, and management



Statutory Compliance


  • Calculate, deduct, and remit all statutory contributions, including PAYE, NSSF (Social Security), withholding tax, and any other mandated deductions in compliance with Ugandan labor laws
  • Ensure proper employee registration with URA (Uganda Revenue Authority) and NSSF
  • Maintain up-to-date knowledge of changes in tax regulations and labor laws



Record Maintenance & Data Integrity


  • Maintain and update employee payroll records, including new hires, terminations, promotions, salary adjustments, bank account details, and leave balances
  • Ensure the HRIS is updated with employee records, time-off requests, and employment changes
  • Manage attendance records and handle exceptions covering overtime, shift work, and leave



Reporting & Analytics


  • Generate monthly payroll reports and statutory filing reports for management
  • Conduct regular analysis of labor costs and overtime expenses, providing data support to Management
  • Support headcount planning, resource allocation, and budgeting processes



Employee Support


  • Respond promptly to employee inquiries regarding payslips, deductions, tax calculations, and other payroll-related matters
  • Properly resolve payroll discrepancies, concerns, and complaints



Audit & Compliance


  • Provide payroll data and supporting documentation for internal and external audits
  • Ensure compliance with relevant labor laws, tax regulations, and organizational policies



Qualifications & Experience

Education


  • Bachelor’s degree in Human Resource Management, Accounting & Finance, Business Administration, or a related field
  • Professional certification in HR or Payroll is an added advantage



Experience


  • Minimum 3–4 years of hands-on payroll processing experience
  • Preferably experienced in handling payroll for 500+ employees
  • Experience in the distribution, manufacturing, or fast-paced industry is highly preferred
