Job summary
The Sponsorship Service Assistant is responsible for the day-to-day execution, administration, and monitoring of child sponsorship operations at the assigned CDP level. The incumbent ensures strict compliance with organizational sponsorship policies, manages child data systems, facilitates community engagement activities, and maintains up-to-date documentation and reporting to support the well-being of registered and sponsored children.
Job descriptions & requirements
- Ensure all organizational sponsorship policies are strictly adhered to during core processes, including New Child Intake, Annual Progress Reports (APR), Annual Child Letters (ACL), and Gift Money Letters (GML) for assigned CDP.
- Take full charge of tracking, managing, and processing drop-out cases within the child sponsorship workflow.
- Conduct regular monitoring of registered and sponsored children, maintaining extreme sensitivity and criticality regarding any changes in the status or living conditions of the children and their families.
- Plan, execute, and document home visits, preparing detailed field reports for the supervisor.
- Oversee and manage all resource and item distributions to beneficiaries within the assigned CDP.
- Manage and maintain the new sponsorship database/system implemented at the assigned CDP.
- Serve as the focal point for all CDP-level technical issues and troubleshooting related to the sponsorship system.
- Ensure accurate filling, updating, and secure record-keeping of all children’s files and data at the project level.
- Actively participate in and support coordination efforts for community health checkups organized by the organization across the CDPs.
- Compile and submit daily, weekly, monthly, and annual work plans and progress reports.
- Ensure all departmental activity reports are prepared accurately and submitted to the Supervisor for approval in a timely manner.
- Provide brief feedback reports on instructions issued by the Country Director.
- Share skills, knowledge, and best practices acquired from conferences or training workshops with head office personnel and fellow staff members.
- Take full responsibility for the duties of colleagues within the Sponsorship and Service Department during their absence (e.g., annual leave, sick leave, or transition/termination periods).
- Execute any other duties and tasks assigned by the supervising officer.
- Professional Conduct: Work in a completely professional manner, adhering to GNIUG’s ethical standards, professional conduct guidelines, policies, procedures, and manuals, as well as the national laws of Uganda.
- Time Management: Maintain punctual attendance at the designated deployment office and dedicate full-time attention and ability to GNIUG service.
- Accountability: Follow established internal and external communication and reporting channels as prescribed by GNIUG management.
- Adaptability: Acknowledge that the job descriptions may evolve to meet shifting organizational targets, and agree to undertake duties outside this specific framework as required.
- Accept potential temporary secondments to other GNIUG-affiliated organizations to carry out assigned duties when requested.
- Timely and error-free submission of APRs, ACLs, GMLs, and New Child Intakes.
- Accuracy and up-to-date status of the assigned CDP digital and physical filing systems.
- Prompt reporting on home visits and drop-out case management.
- Adherence to reporting timelines (daily, weekly, monthly, and annually).
- At least 2 years’ experience in community mobilization working with vulnerable communities and implementing community-based projects is highly valued.
- Excellent communication, interpersonal, and cross-cultural communication skills are crucial for effective engagement with diverse refugee groups.
- The ability to adapt to changing work demands, address challenges, and find solutions in a dynamic environment is essential.
- Proficiency in data collection and report writing is necessary for documenting project progress and outcomes.
- Basic computer skills, including proficiency in Microsoft Word, Excel, and PowerPoint, are often required.
- Strong communication skills in English, Ateso, and/or Lugwere, and other relevant languages spoken by the communities in Pallisa are essential.
- Commitment to promoting child safety, gender equity, social inclusion, and environmental sustainability.
- Ability to ride a motorcycle with a Class A driving license is essential.
