Key Responsibilities
A. Administration & Reception
•Manage the front office and act as the first point of contact for clients, suppliers, and visitors, as well as ensuring office cleanliness and general organisation.
•Handle incoming calls, emails, and correspondence professionally, as well as prepare and distribute internal communications or memos.
•Maintain office filing systems (digital and physical), including staff records, attendance, and leave schedules (if applicable).
•Support procurement of office items and manage petty cash, and coordinate logistics such as deliveries, meetings, and appointments
•Manage service providers' relations (cleaners, maintenance, delivery riders, etc.).
•Support recruitment logistics when new staff are needed.
B. Accounting & Bookkeeping
•Record daily financial transactions and maintain accurate books of accounts.
•Prepare simple financial statements (income and expenditure summaries, cash flow updates).
•Handle invoicing, receipts, and supplier payments.
•Track and reconcile bank and mobile money transactions.
•Manage payroll for any staff and ensure timely salary and statutory payments.
•File monthly tax returns (PAYE, NSSF, VAT, and income tax) with URA.
•Work with external accountant/auditor when required.
C. Personal Assistant Duties
•Manage the Director’s schedule, appointments, and travel plans.
•Assist in correspondence, document drafting, and filing of personal or business-related materials.
•Run occasional errands on behalf of the Director.
•Keep track of deadlines, renewals (licenses, subscriptions), and key dates.
•Provide weekly and monthly summaries on:
Cash flow and petty cash balances.
Expenses and outstanding payments.
Key administrative updates and tasks accomplished
Education & Requirements
Education: Diploma in Business Administration, Accounting or a related field
Experience: 2 years
