Position Summary
The Finance & Administration Assistant will provide support in financial record-keeping, administrative coordination, procurement support, inventory documentation, and office operations. The role is suitable for a recent graduate, final-year student, or intern seeking practical experience in finance, administration, manufacturing operations, and skills development programs. The successful candidate will support day-to-day financial and administrative activities while gaining hands-on exposure to business operations in a dynamic manufacturing and training environment.

Key Responsibilities
1. Financial Administration
● Assist in recording daily financial transactions and maintaining accurate financial records.
● Support preparation of payment vouchers, receipts, invoices, and petty cash records.
● Assist with bank reconciliations and cash management activities.
● Maintain organized filing systems for financial documents.
● Support monthly financial reporting and budget tracking.
● Follow up on outstanding invoices and customer payments.
● Assist during internal and external audits.

2. Administrative Support
● Manage office filing systems, records, and correspondence.
● Prepare letters, memos, reports, and meeting minutes.
● Support scheduling of meetings, appointments, and events.
● Maintain office supplies inventory and coordinate replenishment.
● Receive and direct visitors, clients, suppliers, and trainees.
● Ensure proper documentation and record management.

3. Procurement and Inventory Support
● Assist in obtaining supplier quotations and processing procurement requests.
● Support tracking of materials used in furniture production.
● Maintain inventory records for raw materials, tools, equipment, and office supplies.
● Assist with stock counts and inventory reconciliations.
● Support supplier documentation and procurement records management.

4. Human Resource and Training Support
● Assist with maintaining employee and trainee records.
● Support onboarding and orientation activities for staff and trainees.
● Help coordinate training schedules, attendance records, and training documentation.
● Support organization of workshops, graduation events, and stakeholder meetings.

5. Operations and Project Support
● Assist in preparing project documentation and reports.
● Support data collection for production, sales, and training activities.
● Help track project expenses and supporting documentation.
● Provide administrative support to management and operational teams.

6. General Office Duties
● Maintain confidentiality of financial and organizational information.
● Ensure proper organization of digital and physical records.
● Support communication and coordination across departments.
● Perform other duties assigned by supervisors.

Qualifications
Education
For Internship Applicants:
● Pursuing or recently completed a Diploma or Bachelor's Degree in:
○ Accounting
○ Finance
○ Business Administration
○ Commerce
○ Procurement and Logistics
○ Economics
○ Office Management
○ Or a related field
For Full-Time Applicants:
● Diploma or Bachelor's Degree in Accounting, Finance, Business Administration, Commerce, or related discipline.
Experience
Internship:
● No prior experience required.
● Previous internship, volunteer, or leadership experience is an added advantage. Full-Time:
● 1–2 years of experience in finance, administration, accounting, or office management is preferred.

Skills and Competencies
Technical Skills
● Basic understanding of accounting and financial management principles.
● Proficiency in Microsoft Excel, Word, and Outlook.
● Strong numerical and data entry skills.
● Ability to maintain accurate records and documentation.
● Familiarity with accounting software is an added advantage.
● Good report writing and administrative skills.
