Job Overview - We are looking to hire Procuremet & Stores Officer that will manage the entire supply chain process, from sourcing goods and managing vendor relationships to receiving, storing, and issuing inventory. Key responsibilities include creating purchase orders, maintaining accurate stock records (FIFO), conducting stock takes, ensuring security of inventory, and optimizing inventory levels to prevent wastage or shortages.

Experience - 3 years minimum

Job Description
  • A minimum of a degree in Business Administration, Accounting, Procurement & Supplies, or a related field.
  • Minimum 3 years of experience in a similar position


Responsibilities

  • To procure goods/services through the prescribed procurement process and as per the prescribed process
  • Record maintenance of the procurement and stores process.
  • Store received goods/items in the prescribed storage place or under the prescribed conditions.
  • Check and maintain clear and organized records of all the documentation (invoices, delivery notes, goods received notes, L.P.O S) files and stored properly.
  • Ensuring there is total security and safety of all the items/materials/equipment in the stores.
  • Usage of FIFO stores management principles.
  • Monitor minimum stock levels for all items to ensure proper levels and make appropriate
  • purchase requisitions in due time to enable uninterrupted production and services.
  • Responsible for the storage of both food, beverage, and operational stock.
  • Responsible for the day-to-day check on the storage facilities for upkeep and hygiene.
  • Ensure cleanliness of all areas, keeping storage areas clean & tidy and in strict compliance with hygiene regulations.
  • Conduct inventory audits to determine inventory levels and needs. Any differences between the manual count system have to be investigated, and the information has to be given to the Finance    Department, e.g., the controller.
  • Assist the Accounts Payable Clerk / Payable Assistant in finding out any cost discrepancies.
  • Extend all requisitions daily and update both the inventory management software/system and the bincards.
  • Work closely with procurement to order and receive the required items and equipment in the Club.
  • Troubleshoot any vendor delivery issues and oversee/follow up on the return process through the processing of goods return notes.
