Job Description/Requirements
The Role: Core Operational Management & Efficiency
This multifaceted role ensures the smooth, cost-effective, and timely execution of all company work by managing the critical nexus between Bidding, Finance, Compliance, and Executive Support. You will function as the initial operational gate and the key driver of cash flow.
Key Responsibilities and Functional Areas
1. Commercial & Contracts Management
You will lead the pre-contract phase, ensuring all prospective work is achievable, compliant, and correctly priced, thereby establishing the foundation for successful project execution.
- Acquire, prepare, and submit accurate bids/tenders, ensuring cost-effective and timely project commitment.
- Apply for Tax Clearance Certificates (TCCs) for bids/tenders, ensuring statutory compliance before execution.
- Conduct client meetings (pre, during, and after contract) to foster strong business relationships and manage expectations.
- Actively engage in Business Development/Acquisition efforts to secure new opportunities.
2. Financial & Accounting Administration
You will ensure operational efficiency by meticulously tracking costs, managing budgets, and maintaining statutory and legal compliance throughout the project lifecycle.
- Capture and record company expenditures, critical for cost control and effective budget management.
- Analyze operational expenditure requests and appropriately proportion expenses to fit within company goals.
- Generate Electronic Fiscal Receipting and Invoicing System (EFRIS) records, ensuring prompt, compliant financial documentation.
- File tax returns and Transfer Uganda Revenue Authority (URA) credits, maintaining legal compliance and optimizing cash flow.
3. Credit Control & Invoicing
You will directly impact the operational health of the company by converting executed work into rapid cash realization, sustaining further operations.
- Capture and follow up on all work that needs to be invoiced, streamlining the revenue cycle post-execution.
- Diligently follow up on unpaid invoices, accelerating cash realization for continued operational funding.
4. Executive & Administrative Support
- Assist the Managing Director (MD) in any given activity, providing flexible and high-level support to address strategic roadblocks or immediate operational priorities.
- Coordinate with the Fleet team to ensure a healthy and operational company vehicle fleet.
Candidate Profile & Qualifications
- Bachelor’s degree in Business, Commerce, or Finance.
- 2-3 Years’ Experience in logistics operations.
- Proven experience in Bidding/Tender Management and commercial contracts.
- Demonstrable knowledge of Ugandan Tax Laws and URA/EFRIS compliance.
- Excellent financial administration, reporting, and credit control skills.
- Exceptional organisational, negotiation, and interpersonal communication abilities.
