Job Title: Fulfillment Buyer

Location: Kapeeka/Kampala Uganda

Reports to: Procurement Supervisor / Senior Buyer

Employment Type: Full-time


Role Purpose

The Fulfillment Buyer is responsible for ensuring that all purchase orders are delivered on time and in full. This role acts as the key link between suppliers and internal stakeholders (planning, warehouse, logistics) to track production progress, manage shipment schedules, and resolve any delivery issues. The Fulfillment Buyer also monitors supplier performance and drives continuous improvement to enhance supply chain reliability.


Key Responsibilities


1. Order Fulfillment & Delivery Tracking

- Monitor the end‑to‑end fulfillment of purchase orders, ensuring materials arrive according to required quantities and delivery dates.

- Proactively track order status, identify potential delays, and take corrective actions to minimise disruptions.

- Maintain accurate records of delivery progress and update the ERP system with real‑time shipment information.


2. Supplier Communication & Issue Resolution

- Maintain regular contact with suppliers to review production status, quality control, and shipping plans.

- Address and resolve fulfillment‑related issues such as late shipments, quantity discrepancies, documentation errors, or quality concerns.

- Escalate critical problems to the Procurement Supervisor and collaborate on contingency plans.


3. Internal Coordination

- Work closely with planning, warehouse, and logistics teams to align material availability with production schedules and inventory targets.

- Coordinate inbound shipments, customs clearance, and warehouse receiving to ensure a smooth flow of goods.

- Communicate delivery updates and potential risks to relevant internal departments in a timely manner.


4. Performance Monitoring & Supplier Development

- Track and analyse supplier delivery KPIs (e.g., on‑time delivery rate, fill rate, lead time compliance).

- Prepare regular fulfillment performance reports for management.

- Initiate and support supplier improvement actions, including root‑cause analysis and corrective action plans to enhance reliability and efficiency.


Qualifications & Experience


Education:

- Bachelor’s degree or above in **Supply Chain Management, Logistics, Business Administration**, or a related field.


Experience:

- Minimum 3–5 years of experience in procurement, supply chain, or logistics, with a focus on order fulfillment and supplier coordination.

- Proven ability to manage multiple suppliers and orders simultaneously in a fast‑paced environment.


Technical Skills:

- Strong knowledge of import/export procedures, Incoterms, and freight forwarding practices (experience with Uganda/East African logistics is a plus).

- Proficiency in ERP systems (e.g., SAP, Oracle) and Microsoft Office Suite (Excel, PowerPoint).


Soft Skills:

- Excellent communication and negotiation skills to interact effectively with suppliers and cross‑functional teams.

- Strong analytical and problem‑solving abilities with a detail‑oriented mindset.

- Ability to work under pressure, prioritise tasks, and meet tight deadlines.

- Team player with a proactive and results‑driven attitude.


Other Requirements:

- Fluent in English (written and spoken); knowledge of local languages is an advantage.

- Prior work experience in Uganda or East Africa is highly desirable.

- Willingness to travel occasionally to supplier sites if required.
