Job Summary
This is a mid-level, individual contributor role based in Kampala. The role holder will be responsible for supporting key functions across social media, marketing, office administration and finance, ensuring smooth operations and contributing to the overall efficiency and effectiveness of SIMNET Solutions. The role holder will be expected to execute the following responsibilities:

This function works closely with partners, freelance creatives and external service providers to ensure seamless execution of all projects and initiatives.

- Create and open official company accounts (LinkedIn, X, Instagram, Facebook, TikTok, Snapchat where applicable) and configure Google Business/Maps and email domain presence.
- Develop and maintain a content calendar (weekly/monthly) aligned to business objectives (lead generation, brand awareness, thought leadership).
- Design visuals and templates using Canva (post templates, proposals, brochures, banners).
- Produce short-form video content, image posts, captions and simple audio/voiceovers; edit basic videos for social platforms.
- Manage organic community engagement (comments, DMs, mentions) and basic social ad campaigns when approved.
- Track and report social KPIs and recommend content optimisation.
- Draft company communications including press messages, client emails, brochure copy, service one-pagers and website copy updates.
- Take photos/pictures of office/team events, produce case study images and short testimonial clips.
- Prepare polished presentations and pitch decks for client meetings and partner outreach.
- Welcome guests professionally; maintain reception area and client waiting experience.
- Answer and professionally route incoming calls and emails; maintain phone, email and meeting etiquette.
- Maintain brochure racks, client handouts and branded materials; and as well provide printed materials to visitors and clients.
- Manage office supplies, support procurement of branded items (banners, signboards, stationery), obtain quotes, negotiate with suppliers, inspect, receive and accept deliveries.
- Maintain petty cash and support processing of receipts and vendor invoices for Managing Partners’ review and approval.
- Support events organisation and coordination including booking venues, arrange refreshments and manage all event logistics for trainings and client workshops.
- Run timely errands and small client-facing tasks such as collecting documents, delivering materials, attending quick meetings/inspections).
- Attend scheduled meetings where invited and take on the role of recording meeting minutes.
- Reconcile petty cash weekly/monthly where applicable; log small transactions and maintain orderly invoices and receipts for the partners.
- Assist in preparing simple monthly expense summaries for partners and invoice follow-up.
- Maintain client records, project folders, employee/contractor files and all other related office records both in digital and physical form in a neat and well organised manner for easy traceability and retrieval.
- Maintain CRM/lead list (either via spreadsheet or using CRM tool provided) and log enquiries, follow-ups and client meeting notes.
- Identify and qualify business leads, set appointments for partners and support proposal preparation where need be.
- Actively represent SIMNET solutions ltd at local networking events when requested; as well as pursue warm introductions using existing network.
- Implement systems (content templates, SLA templates, folder structures, intake forms, follow-up trackers) to reduce partner admin load.
- Produce concise weekly and monthly performance and activity reports for partners (social metrics, leads, procurement status, office health).
- Suggest and implement continuous improvement initiatives, with approval from the Managing Partner.
- Conduct market scans and competitor monitoring; highlight opportunities for business and potential partnerships.
- Support creation of training materials.
- Run internal onboarding for any new staff.
- Perform any other task as may be assigned by the Managing Partner from time to time.
- Continuously create and try out different marketing ideas to increase audience reach and generate inquiries, such as testing 2 versions of content to see which performs better, running themed campaigns and encouraging referrals.
- Create reusable templates (Canva brand kit, proposal templates, event checklists etc) to accelerate delivery.
- Identify free/low-cost tools and automations to reduce repetitive work including scheduling tools, basic CRM, form/checklist automation.
- Recommend and pilot at least one modest paid promotion once per quarter (subject to approval by the Managing Partner with consideration of ROI tracking).
- This role has no direct reports initially but expected to coordinate and manage office
- You will also participate in service provider negotiations and hold suppliers accountable for quality and deadlines.
- You will serve as the dependable office lead; escalate important client or operations issues to partners.
- Bachelor’s degree in Marketing, Business Administration, Communications, Office Management or related field (or equivalent experience).
- 3+ years of hands-on experience managing social media for organisations or brands and creating content using Canva and other relevant tools.
- Strong written and verbal communication skills; confident public-facing demeanour.
- Basic accounts and finance experience (petty cash, invoices handling) and strong organisational skills.
- Comfortable with smartphones for photography/video and basic editing tools.

- Experience with LinkedIn B2B marketing and professional services branding.
- Existing professional network in Uganda (HR, SMEs, NGO, corporate contacts).
- Account set-up: All primary social media platforms opened, branded and fully optimized within the first month of onboarding.
- Social media activity: Maintain a consistent posting schedule with at least one post per day across priority platforms, including a mix of static posts, short videos and stories.
- Content production: Deliver 20–30+ pieces of high-quality content per month, ensuring a balance of posts, videos and interactive stories that drive engagement and brand visibility.
- Social growth targets: Achieve month-on-month follower growth of 8–15% on priority channels, alongside measurable increases in engagement rates (likes, shares, comments, story interactions).
- Quality standards: All content should reflect SIMNET Solutions’ brand voice, maintain professional standards and support broader marketing and business objectives
- Leads: Accurately record and track all incoming qualified leads in the designated CRM/tracker per month. Leads include inquiries received via phone, email, office visits, social media platforms, website contact forms, or those provided by partners. The target number of leads will be agreed with the Managing Partner.
- Client Meetings: Schedule, coordinate and prepare for client appointments, including both incoming requests from existing or prospective clients and meetings requested by partners. Ensure all pre-meeting materials are ready, and follow-ups are completed.
- Response SLA: Respond to all incoming client enquiries within 24 working hours to maintain a professional and responsive service standard.
- Petty Cash and Expense Reconciliation: Submit and reconcile petty cash and all expenses with in 14 days after spending, ensuring accuracy and compliance with company policies.
- Procurement: Obtain and compare supplier quotes for all purchases above the agreed threshold and maintain an on-time delivery rate of at least 90% for all ordered collateral (including marketing materials, office materials, event materials, digital assets whether printed or distributed) and any other materials.
- Office Uptime: Ensure reception and phone lines are covered during working hours, with no unstaffed periods and maintain a visitor feedback score of ≥90% based on surveys or feedback forms.
- Event Delivery: Successfully execute all scheduled trainings and events, achieving checklist completion of ≥95% for planning, setup and follow-up tasks, ensuring events run smoothly and meet quality standards.
- Monthly Reporting: Prepare and submit a monthly KPI dashboard covering all key activities, including leads, client meetings, content production, operations and events. Include actionable insights and recommendations to support decision-making and performance improvement.
- Full-time, office-based in Kampala, Monday to Friday, 8:00 AM to 5:00 PM.
- Flexible hours may be required during events and the role holder may be asked to work extra hours and on weekends, if there is work to be completed.
- 6-month probation period, with performance reviewed against agreed KPIs.
Professional Development:
- Partners will support relevant short courses, subject to business performance and budget.
- This role is expected to operate with minimal supervision.
- Daily check-ins can be brief, but the coordinator must proactively create and drive tasks, consistently delivering measurable outputs.
