Job Description/Requirements
Rikolto in East Africa (formerly known as VECO) is part of the Rikolto network, an international NGO with more than 40 years of experience in partnering with farmer organizations and food chain actors across Africa, Asia, Europe, and Latin America. Rikolto aims to contribute to the development of a dynamic, sustainable, and inclusive agricultural sector with family farmers providing quality products for their own consumption and for diverse markets (national, regional, and international markets).
Rikolto Uganda (part of Rikolto in East Africa) is looking for an administrative assistant, to support the Rikolto Uganda office on general administrative, procurement, and logistic activities.
Responsible for general administrative, procurement, and logistic activities for Rikolto Uganda office.
Bookkeeping
- Raise source financial documents i.e requisitions, payments and receipt vouchers, LPOs etc, and present them for review and approval.
- Maintain stock, supplies, and other inventory records; monitor inventory levels and initiate replenishment processes.
- Support recording of transactions in the online banking System.
- Assist in the reconciliation of supplier statements and bank accounts
- Support in tracking operational expenditure.
General office Administration
- Undertake and monitors administrative services within the organization’s office.
- Ensure that office premises have utilities(water, electricity, communication)at all times.
- Promptly, professionally, and courteously receive telephone calls, emails, and visitors and relays messages to appropriate individual in the organization.
- Maintains confidentiality of the organization’s fiscal and personnel-related information.
- Support insurance coverage processes for both staff and equipment.
- Coordinate staff travels, accommodation, visas and support the process of obtaining operational permits for the organization and staff.
- Support the procurement processes in accordance with the organisation’s procurement policies and procedures.
- Manage fleet and ensure all Rikolto Uganda vehicles are in good mechanical condition.
- Carry out any other duties as required for the good functioning of the organization.
- Degree/Diploma in Business Administration or Office Management, or an equivalent.
- Computer literacy especially in MS Office applications
- Good command of oral and written English
- Driving skills, both manual and automatic cars
- At least 2 years of experience in the administrative function
- Experience with people management
- Experience in customer care
- Experience in working with international NGOs is an added advantage
- Is able to work autonomously with minimum supervision
- Is reliable and accurate
- Well organized, efficient and respect deadlines
- Listen actively
- Is willing to cooperate with various actors and communicates clearly in variety of settings and styles.
