Job Scope: 

Reporting to the Senior Agency Analytics Executive, the Agency Support Officer will, under his guidance lead on the Agency Licensing and COP Processes, Managing Agency Incentives (Preparation and Recognition), and Reporting and Analytics. 


As the ideal resource for this role, the successful candidate will be an ardent team player, with excellent people skills. In addition, she/he will be highly confidential, the go-to person with an analytical mindset, proactive and self-driven, with the ability to meet deadlines on short notice.


Principal Accountabilities: 

Agent Licensing  

  • Make sure all the Agents are trained about the whole process of Licensing process, are able to apply for their own Licenses, and follow up to the stage of getting a hard copy License. 
  • Make an updated database of the licensed agents and make sure their Licenses are on their respective files and in the System (DCMS). 
  • Keep an Updated Database of the Licenced Agents 
  • Ensure all the Interns due for licensing (after 6 months) have gone through the process 
  • Collection of Agent licenses and make sure License reverts for Agents are attended 
  • All existing agents get their licenses renewed yearly. 


COP Processes 

  • The Schedules are prepared in time for the Approval for the COP applications for all the agents that have met the criteria. (at least 14 days to the deadline date). 
  • All documents for active agents due for COP sitting are submitted on time to the ITC (Online  system at least 5 days to closure) 
  • Reach out to all those who failed COP resit at their own cost or face termination. 
  • Follow up with the ITC to make sure the COP Students are attending classes. 


Manage the agency incentives (Preparation & recognition) process. 

  • Timely preparation and payment of all incentives with clear TAT in coordination with the  Finance team. 
  • A tracker for all incentives paid is maintained monthly & any disputes received are attended to full closure. 
  • Monthly Schedule/updates of the league rankings for the agency force are prepared on a timely basis (10th Day of the Month) for approval by the CAO. 
  • Attend to all queries that have been raised by the Agency Force regarding the Incentives. 


Reporting & Analytics 

  • Weekly production report & analysis 
  • Comparison reports have been issued. 
  • Agency MI & other analytical reports have been submitted by the 10th of the month. 
  • A balanced scorecard has been implemented across the leadership tiers. 
  • Producer and Policy Term Tracker Reports 
  • 100% accuracy of the reports & analytics issued out. 
  • Automation of the major reports to improve efficiency. 


Other duties 

  • Perform any other duties as may be required by the Senior Agency Analytics Executive, Head  of Agency Support & Analytics, and CAO


Core Competences Required:

  • Excellent computer skills especially using Microsoft excel 
  • Analytical and presentational skills 
  • Flexibility and ability to prioritize tasks and activities 
  • Ability to successfully work in a high-activity, fast-paced environment 
  • Positive attitude, attention to detail, and customer-oriented with good multitasking and organizational ability 
  • Ability to work well with others: Not only will the candidate be required to interact with agents but they may be required to meet with other departments to synchronize their efforts and resolve common issues. 
  • University degree in Statistics, Accounting, or equivalent from a recognized University 
  • 2-3 years of working experience of which at least one is in a similar role
