JOB PURPOSE

The Administrator plays a pivotal role in ensuring the smooth operation of WTM’s administrative functions, supporting ministry activities, and maintaining organizational efficiency. The Church Administrator will support the ministry’s programs and missions by managing resources effectively, coordinating church operations, and upholding ethical and spiritual values in administration.


KEY JOB DUTIES AND RESPONSIBILITIES

I. Administration & Ministry Operations Management — 25%

  • Oversee day-to-day administrative functions, ensuring operational efficiency across departments.
  • Coordinate WTM meetings, events, and ministry activities to ensure smooth execution.
  • Implement policies and procedures that enhance WTM operations, facilities management, and service delivery.
  • Maintain accurate administrative records, correspondence, files, and documentation.
  • Prepare and submit periodic administrative and operational reports to promote accountability.
  • Ensure proper maintenance and utilization of organization assets, equipment and infrastructure.
  • Supervise administrative and support staff, fostering a culture of excellence and accountability.
  • Support mission programs by providing logistical and operational coordination.


II. Facilities, Property & Utilities Management — 20%

  • Manage church buildings, offices, worship spaces, cottages, and related infrastructure.
  • Plan, supervise, and monitor routine and preventive maintenance, repairs, and renovations.
  • Ensure safety for the congregation while praying at WTM.
  • Ensure uninterrupted availability of utilities (water, electricity, sanitation, waste management).
  • Liaise with contractors, suppliers, and service providers to ensure quality service delivery and value for money.


III. Cottages & Accommodation Management — 15%

  • Oversee allocation, booking, administration of cottages and uptake of accommodation facilities.
  • Ensure cleanliness, safety, security, and readiness of accommodation facilities at all times.
  • Supervise housekeeping and hospitality staff assigned to cottages.
  • Maintain inventories of furniture, equipment, linen, and accommodation supplies.


IV. Transport & Logistics Management — 15%

  • Manage church vehicles including scheduling, fueling, servicing, repairs, insurance, and licensing.
  • Supervise drivers and ensure compliance with transport policies and road safety regulations.
  • Maintain vehicle logbooks, fuel records, and maintenance schedules.
  • Coordinate logistics and transport support for church events, outreaches, conferences, and official engagements.


V. Human Resource Supervision (Support Staff) — 10%

  • Supervise and coordinate support staff including security personnel, cleaners, gardeners, drivers, and maintenance staff.
  • Prepare duty rosters, work schedules, and task assignments.
  • Monitor attendance, performance, conduct, and discipline of supervised staff.
  • Address staff grievances, conflicts, and welfare issues professionally and in line with church values.


VI. Security, Safety & Risk Management — 5%

  • Coordinate security services for WTM premises, events, and activities.
  • Ensure implementation of safety, emergency, and risk management procedures.
  • Identify potential security and safety risks and recommend mitigation measures.
  • Liaise with security firms, local authorities, and emergency services when necessary.


VII. Financial, Resource & Compliance Support — 10%

  • Assist in preparation and monitoring of departmental and operational budgets.
  • Ensure prudent, cost-effective, and transparent utilization of church resources.
  • Ensure efficient resource allocation and cost-effectiveness in operations.
  • Support fundraising initiatives and donor reporting, ensuring financial transparency.
  • Coordinate fundraising activities and manage donor contributions effectively.
  • Ensure compliance with church policies, ethical standards, tax regulations and regulatory/governance requirements.
  • Manage contracts, legal agreements and WTM property documentation.
  • Identify potential risks and implement mitigation measures to safeguard WTM operations.

JOB SPECIFICATIONS

Education, Knowledge & Working Experience

  • A Bachelor’s degree in Business Administration, Public Administration, Facilities Management, Organizational Leadership, or a related field.
  • A Master’s degree in Administration or Leadership is an added advantage.
  • Strong administrative, management, and leadership skills.
  • Advanced MS Excel skills.

Experience

  • At least 3–5 years’ experience in administration or operations management.
  • Proven experience managing facilities, support staff, and logistics.
  • Experience working in a church, NGO, or faith-based organization is an added advantage.
