Job descriptions & requirements

Reports to: Human Resource Manager

Job Role: To implement Human Resource Management policies, systems, structures, and processes in line with the Company’s strategy and relevant employment laws

Key Result Areas Duties and Responsibilities
1. Participate in the implementation of staff training and development programs
  • Participate in induction programs for new staff, solicit approval
  • Maintain an annual staff training and development calendar in line with the Company’s HR Policy

2. Under the guidance of the HR Manager, carry out Performance Management Processes
  • Initiate the performance appraisal process as per the performance management cycle
  • Track, follow up, and report on the completion of staff appraisals in line with the appraisal process/ policy
  • Extract and compile key performance and staff development issues from appraisal forms

3. Implement the company’s recruitment and selection processes in line with the Human Resource manual
  • Receive, code, and file applications
  • Draft short-listing criteria and list applicants ranked against the selection criteria and share with relevant user unit heads for review
  • Draft invitation letters, schedule interviews, notify prospective candidates, and organize interview venues/ materials
  • Develop and maintain a record of all recruitment processes
  • Provide feedback to candidates

4. Maintain and update a comprehensive filing system and the Company’s Human Resource Information system
  • Maintain an updated and comprehensive filing system

5. Implement the welfare scheme and staff benefits in line with the Human Resource policy
  • Organize and conduct Visits to workers’ Villages and generate follow up reports.
  • Participate in organizing end-of-year parties
  • Coordinate the implementation of the Company’s Medical Scheme
  • Coordinate processing, renewing and updating staff identity cards and Employment contracts.
  • Organize staff support for compassionate visits/ funerals

6. Organize and guide Disciplinary Hearings
  • Organize and guide disciplinary hearings on the  3  estates In line with the Company’s HR Policy.
  • Draft the disciplinary hearing’s minutes.

7. Participate in, documentation and dissemination of correspondences and minutes in line with the HR policy
  • Draft staff meeting minutes and provide feedback of meetings, communicate agenda for the next staff meeting and follow up key agreed action points

8. Payroll Management
  • Assist in Managing the Payrolls for plantation workers
  • Print and circulate pay slips to all staff

Salary Ugx 400,000 -450,000 (Entry level)
