Trade Reconciliation Officer
Job summary
The Trade Reconciliation Officer is responsible for ensuring that every executed trade is fully, accurately, and timely reconciled across commercial, operational, and financial records. This role is the “truth layer” between trading, operations, finance, and counterparties, ensuring volumes, prices, documents, payments, and inventory movements all
Job descriptions & requirements
1. Trade Capture & Validation
· Verify that all executed trades are correctly captured in the trading / ERP system
· Validate:
o Counterparty
o Commodity, grade, and location
o Quantity (MT, tolerances, partial deliveries)
o Pricing, FX, fees, and margins
o Contract references and trade IDs
· Ensure consistency between:
o Contracts (PSAs, prepayment agreements, vouchers)
o GRNs / delivery notes
o System records
2. Physical & Inventory Reconciliation
· Reconcile physical movements against contractual positions:
o Warehouse receipts (WHRs)
o GRNs (supplier, warehouse, end-buyer)
o Truck dispatch and delivery confirmations
· Track:
o Delivered vs contracted quantities
o Open balances
o Shortages, overages, and quality deductions
· Flag discrepancies immediately to Trading & Operations
3. Break Management & Issue Resolution
· Identify, log, and actively resolve reconciliation breaks, including:
o Quantity mismatches
o Pricing errors
o Missing or inconsistent documents
o Delayed GRNs or WHRs
· Coordinate resolution with:
o Traders
o Operations & logistics
o Finance
o Counterparties/warehouses
· Maintain a clear break tracker with ownership and timelines
4. Break Management & Issue Resolution
· Identify, log, and actively resolve reconciliation breaks, including:
o Quantity mismatches
o Pricing errors
o Missing or inconsistent documents
o Delayed GRNs or WHRs
· Coordinate resolution with:
o Traders
o Operations & logistics
o Finance
o Counterparties / warehouses
· Maintain a clear break tracker with ownership and timelines
5. Documentation & Audit Trail
· Ensure every trade has a complete execution pack, including:
o Executed contract
o GRNs / WHRs
o Transfer of title letters
o Payment receipts
· Maintain clean digital filing aligned to trade IDs
· Support audits, investor reporting, and lender due diligence
6. Reporting & Controls
· Produce regular reconciliation reports:
o Open trades
o Unsettled balances
o Inventory positions
o Aged breaks
· Highlight risk exposures related to:
o Inventory
o Counterparty payments
o Contractual non-performance
· Proactively suggest process improvements and controls
