Job descriptions & requirements

Operational Oversight:

  • Oversee and coordinate all daily operational activities across various departments to ensure seamless and efficient workflow.
  • Troubleshoot and resolve operational bottlenecks and challenges as they arise to maintain service delivery standards.
  • Implement and enforce standard operating procedures (SOPs) to ensure consistency and quality in all business processes.


Staff Performance Monitoring and Evaluation:

  • Establish clear performance metrics and conduct objective, regular monitoring and evaluation of all staff members.
  • Provide constructive feedback, identify training needs, and coordinate professional development opportunities to enhance team competence.
  • Manage staff scheduling, attendance, and leave requests to ensure adequate coverage and adherence to labour laws.


Documentation and Record Keeping:

  • Organise, maintain, and secure a comprehensive, easily retrievable system for all organisational documentation, including financial records, HR files, client data, and operational reports.
  • Ensure all documentation adheres to legal requirements and internal policies for accuracy and completeness.


Regulatory Compliance:

  • Act as the primary contact and ensure strict adherence to all regulations set forth by key regulatory bodies, including but not limited to:
  • URA (Uganda Revenue Authority): Tax compliance and reporting.
  • NSSF (National Social Security Fund): Employee contribution management.
  • AHPC (Allied Health Professionals Council) / UMDPC (Uganda Medical and Dental Practitioners Council): Professional and ethical standards compliance relevant to the sector.
  • Prepare for and facilitate all scheduled and unscheduled regulatory inspections and audits.


Financial and Accounts Management:

  • Conduct periodic and surprise audits of cashiers' operations, reconcile daily takings, and ensure the integrity of cash handling procedures.
  • Oversee and manage client accounts, including invoicing, collections, debt follow-up, and ensuring accurate billing and payment processing.


Inventory and Stock Management:

  • Develop and implement robust systems for managing all incoming and outgoing inventory.
  • Conduct regular, detailed stock takes and reconciliations to minimise discrepancies and prevent loss.
  • Establish optimum stock levels, process purchase requests, and oversee the secure storage and proper issuance of materials and equipment


Internal Coordination and Communication:

  • Plan, coordinate, and chair routine staff meetings to disseminate information, address concerns, foster teamwork, and review departmental performance.
  • Establish effective internal communication channels to ensure all staff are informed of policy changes, organisational goals, and operational updates.


Risk Management and Loss Prevention:

  • Develop, implement, and consistently review strategies and controls aimed at preventing and reducing organisational loss, including theft, fraud, waste, and operational inefficiencies.
  • Analyse historical data to identify high-risk areas and proactively institute corrective measures.


Planning and Reporting:

  • Develop detailed weekly operational plans, allocating resources and defining priorities to meet strategic objectives.
  • Prepare comprehensive and insightful reports, detailing operational performance, compliance status, financial summaries, and key recommendations, for timely submission to the Board of Directors.


Marketing and Field Audit:

  • Organise, supervise, and audit all field and marketing activities to ensure they align with ethical standards, organisational policies, and budget constraints.
  • Evaluate the effectiveness and return on investment (ROI) of all field programs.
