Job summary
To ensure effective management of accounts payable, receivable, bank reconciliations, cash controls, and related accounting transactions by maintaining accurate financial records, safeguarding company assets, supporting working capital management, and ensuring compliance with company policies, accounting standards, and statutory requirements.
Job descriptions & requirements
A. Accounts Payable Management
- Receive, verify, and process supplier invoices for payment.
- Match supplier invoices with purchase orders, goods received notes (GRNs), contracts, and supporting documentation.
- Ensure all supplier payments are properly authorized before processing.
- Prepare payment schedules and submit them for approval within agreed timelines.
- Process payments through EFT, RTGS, bank transfers, cheques, mobile money, and other approved payment methods.
- Maintain an updated suppliers' ledger and ensure account balances are accurate.
- Reconcile supplier statements monthly.
- Resolve supplier payment disputes and account discrepancies promptly.
- Ensure all withholding taxes and other statutory deductions are correctly accounted for.
- Monitor accounts payable aging and recommend actions to avoid overdue obligations.
- Support periodic supplier account reviews and audits.
- Maintain proper vendor master data and supplier records.
B. Accounts Receivable Management
- Prepare customer invoices accurately and promptly.
- Ensure all sales invoices are supported by approved documentation.
- Post customer transactions into the accounting system.
- Monitor customer balances and credit limits.
- Follow up outstanding debts and ensure timely collections.
- Prepare and issue customer statements regularly.
- Reconcile customer accounts and investigate discrepancies.
- Maintain an updated debtors aging analysis.
- Escalate overdue accounts to management.
- Support debt recovery initiatives.
- Process receipts and allocate payments correctly.
- Review customer accounts and identify potential credit risks.
C. Bank Reconciliation & Cash Management
- Perform daily, weekly, and monthly bank reconciliations for all company bank accounts.
- Investigate and resolve unreconciled items promptly.
- Monitor bank charges, interest income, and bank-related transactions.
- Ensure bank transactions are accurately posted in the accounting system.
- Prepare cash position reports and liquidity forecasts.
- Reconcile mobile money accounts and other digital payment channels.
- Monitor cash movements and safeguard company funds.
- Investigate unusual or suspicious banking transactions.
- Liaise with bankers regarding transaction queries and banking services.
- Ensure all bank accounts are reconciled within stipulated timelines.
D. Landed Cost/Product Costing.
- 1. Ensure landed cost templates for AGO, PMS & IK are up to date for all new vessels.
- 2. Ensure you liaise with your immediate supervisor to incorporate any statutory changes in the landed cost template as communicated.
- 3. Ensure the Pricing Update summery is updated and correctly linked to the product costing template and decision ready for the pricing committee.
- 4. Ensure all PLATS updates are shared with the price committee on time and interpreted accurately to inform pricing and purchasing timing decision.
- 5. Ensure all products are accurately posted on SAP accordingly and matched with the costing template and price variances explained.
E. General Ledger & Financial Reporting
- Post journals relating to payables, receivables, and banking transactions.
- Maintain accurate subsidiary ledgers and control accounts.
- Reconcile general ledger accounts monthly.
- Assist in month-end and year-end closing processes.
- Support preparation of management accounts.
- Maintain supporting schedules for audit purposes.
- Ensure accounting records are complete and properly filed.
