NOTICE OF TEMPORARY M.A.S.S. VACANCY
Position: Temporary Coordinator - International Student Programs
Salary: Band 5: $42.52 to $50.71 per hour + 4% vacation pay
Location: Welcome Center

Position Summary
As part of a multidisciplinary team at the HDSB Welcome Centre which supports the transition of newcomer students and families, the Coordinator of International Students manages and facilitates enrollment and admissions of International fee-paying students.
Reporting to the Principal and/or Supervisor, International Education, this position provides support for International Education programs and initiatives. Responsibilities include coordination of short-term cultural, academic, and homestay programs, supporting international student success, guiding and assisting International Education support staff, and liaising with schools, partners and agents.
Key Responsibilities
Admissions, Enrollment & Documentation
- Support all aspects of the full-time International Student Program (Secondary, Elementary, Short-term, and Summer Programs) from the initial application point through to departure or graduation.
- Manage and facilitate student enrollment; collect, track, and process program fees and necessary immigration documentation
- Deliver accurate, timely admissions information to applicants, parents, and recruitment partners, while clearly explaining HDSB policies, procedures, and immigration requirements.
- Manage and report on the program budget, including tracking extracurricular expenses, purchasing, and material allocations.
- Work extensively within student database computer programs for reporting, data gathering, tracking student attendee numbers.
Student Orientation, Services & Integration
- Coordinate, develop, and implement a pre-arrival and post-arrival Orientation Program for newly arriving international students, including agents, homestay and custodians as needed
- Coordinate and implement student extra-curricular activities, including logistics (transportation, materials purchasing), budgeting, and securing internal/external support.
- Facilitate student connections with school-based activities and broader community initiatives.
Custodian Duties, Health & Wellness
- Shares responsibility for emergency after-hours calls and follow-up planning/interventions.
- Conduct ongoing wellness checks and monitor students' mental health, overall well-being, and success
- Personally accompany students under HDSB custodianship to medical appointments
Homestay Liaison
- Prepare students for homestay placements via local agencies; monitor homestay issues, local/national policy updates, and inform program staff of changes.
- Act as liaison between ISP and homestay providers to proactively problem-solve student and homestay challenges.
Marketing, Recruitment & Communications
- Manage and maintain strong, ongoing communications with international agents/recruiters, HDSB schools, and outside vendors.
- Support the marketing and promotion of international programs, events, and broad education strategies, which includes providing school tours to agents and families
Program Development, Supervision & Training
- Coordinate, supervise, and develop programs for facilitators (such as summer students) working on short-term or long-term initiatives. Supervision of facilitators providing recreational programs in the evenings and on weekends.
- Oversee activity, policy, and implementation for both inbound and outbound student study abroad/exchange activities.
Qualifications
- Minimum - 2 year diploma/degree in Business or related field
- Experience with office processes and operations
- Experience working in a school board/educational setting (K-12)
- Minimum technological skills - Aspen, ONSIS, Online registration portal, Google Suite, Microsoft Office experience
- Relevant customer service experience and at least 2 years experience working in an International Student Program (ISP)
- Knowledge of the Education Act and Ontario Ministry of Education Pupil Residency Policies, Refugee, Protection Act (Citizen and Immigration Canada), HDSB Registration and Admission of Pupils Administrative Procedures.
- A well-defined sense of diplomacy including solid relationship management and organizational skills.
- Proven record of working effectively independently and paying attention to detail
- Strong oral and written communication skills working with various racial and cultural demographic and age groups.
- Strong cultural competence skills
- Strong problem solving and emotional intelligence skills: manage emotions, perceive the emotions of others, ability to deescalate situations
- Demonstrated success in overseeing the functioning of a busy office, including leading people and teams and prioritization and anticipation skills
