The Student Coordinator is responsible for the overall welfare, discipline, and holistic development of students at AsOne Ministries. The role serves as the key link between students, teachers, parents/guardians, and school leadership, ensuring that each learner's academic, social, emotional, and spiritual needs are supported. The Student Coordinator plays a central role in maintaining student records, coordinating guidance and counseling, managing discipline processes, and organizing co-curricular and student-focused programs, all within a Christ-centered framework.

Key Responsibilities

Discipleship & Spiritual Formation
• Oversee the school devotion program, ensuring devotions are held consistently and are engaging and
age-appropriate for students.
• Conduct lessons and mentorship sessions on discipleship, helping students grow in Christian character and
faith.
• Organise and coordinate discipleship-related activities and clubs, such as Scripture Union, Bible quizzes, and
other faith-based programs.
• Plan and coordinate student community visits and outreach engagements, connecting classroom learning and
faith with real-life service.
• Partner with church and community leaders to strengthen discipleship and outreach opportunities for students.
• Monitor and report on the impact of discipleship and spiritual formation activities on student character and
spiritual growth.

Child Safeguarding
• Serve as the school's designated Child Safeguarding Focal Point Person, acting as the first point of contact for
all child safety and protection concerns.
• Ensure the safety of all students, protecting them from sexual harassment and abuse, bullying, corporal or other
harmful punishment, neglect, and child labour.
• Promote and enforce positive, non-violent discipline methods across the school, in line with the ban on
corporal punishment and the school's child protection policy.
• Conduct regular training and age-appropriate sensitization sessions for students on personal safety, body safety
and consent, bullying prevention, and how to report abuse.
• Conduct training and sensitization for teaching and support staff on child protection standards, appropriate
conduct, and reporting obligations.
• Establish and maintain clear, child-friendly reporting channels (e.g., suggestion boxes, trusted staff contacts) so
students can safely raise concerns or report abuse.
• Promptly and confidentially investigate, document, and respond to all reported child safety concerns, following
the school's child protection policy and procedures.
• Maintain secure, confidential records of safeguarding cases and ensure appropriate follow-up, referral, and
support for affected students.
• Refer serious cases of abuse, harassment, or exploitation to relevant authorities (e.g., police, probation and
social welfare officers, or child helpline services) in line with national child protection laws.
• Monitor the school environment - classrooms, compound, transport, sanitation facilities — for potential safety
risks and recommend improvements.
• Educate students on online safety and responsible use of technology to prevent cyberbullying and online
exploitation.
• Sensitize parents, guardians, and community leaders on child protection to reinforce students' safety beyond the
school.
• Ensure new staff, volunteers, and visitors comply with safe recruitment and child protection guidelines before
interacting with students.
• Stay updated on national and organizational child protection policies (e.g., Uganda's Children Act and OVC
guidelines) and ensure school practices remain compliant.

Home Visits
• Follow up on students who have not reported back to school, visiting their homes to find out the reasons for
their absence.
• Visit the homes of students who have struggled to pay school fees, to understand their circumstances and
coordinate appropriate support.
• Coordinate and accompany any donor visits to students' homes, ensuring visits are well organized and
respectful of the family.

Student Welfare & Support
• Monitor the general welfare, health, and wellbeing of students on a day-to-day basis.
• Identify students facing academic, social, emotional, or home-related challenges, and coordinate appropriate
support.
• Provide guidance and counseling to students, or refer complex cases to appropriate professionals.
• Follow up on vulnerable, at-risk, or sponsored students, ensuring their needs are known and addressed.
• Promote a caring, safe, and inclusive environment for all students.

Student Discipline & Conduct
• Coordinate the implementation of the school's student discipline and code of conduct policy.
• Handle day-to-day discipline matters fairly and consistently, escalating serious cases to the Head Teacher.
• Maintain accurate discipline records and follow up on corrective actions and behavior improvement plans.
• Work with teachers and parents to address recurring behavioral concerns.
• Promote positive behavior, respect, responsibility, and spiritual growth among students.

Student Records & Administration
• Maintain accurate and up-to-date student records, including attendance, enrollment, discipline, and welfare
files.
• Track student attendance patterns and follow up on absenteeism with teachers and parents/guardians.
• Coordinate student registration, class placement, and transition processes between grades.
• Prepare regular reports on student welfare, discipline, and attendance for school leadership.

Parent & Guardian Engagement
• Serve as a key point of contact for parents and guardians regarding student welfare and discipline matters.
• Organize and participate in parent meetings, communications, and home visits where necessary.
• Communicate school expectations, policies, and updates clearly to parents and guardians.
• Build strong, trust-based relationships between the school and student families.

Co-Curricular & Student Programs
• Coordinate co-curricular activities, clubs, sports, and student leadership programs.
• Organize student events and fellowships.
• Support the planning and execution of student mentorship and life-skills programs.
• Encourage student participation in spiritual, academic, and talent-development activities.

Collaboration with Staff & Leadership
• Work closely with teachers to identify and address student welfare and discipline concerns.
• Support the Head Teacher and Director of Studies in implementing student-related policies.
• Collaborate with sponsorship, health, or community teams (where applicable) on student support programs.
• Participate actively in staff meetings, devotions, and school-wide initiatives.

Other Duties
• Perform additional duties as assigned by the Head Teacher or administration as needs arise.

What We're Looking For
Required Qualifications & Experience
• Education: Diploma or Degree in Education, Guidance and Counseling, Social Work, or a related field.
• Experience: Minimum of 2 years of experience in a student welfare, discipline, guidance and counseling, or
related role within a school setting.
• Sound understanding of child protection principles and student welfare best practices.
• A demonstrated personal Christian faith and commitment to Christ-centered student development.

• Strong listening, counseling, and conflict-resolution skills.
• Fair, consistent, and firm in handling discipline matters.

• Proficient in maintaining and organizing student records and welfare documentation.

• Competent in the use of technology for record-keeping and reporting.
• Capable of creating a safe and nurturing environment for students' academic, social, and spiritual growth.
