Job Description/Requirements

OPERATIONS ADMINISTRATOR

We are looking to recruit a strong, reliable, and motivated Operations Administrator/Technical Administrator

Ideally, you would have worked in a technical environment or possess the capacity to learn quickly and understand the technical rudiments required to support a technical company. You will be actively involved in the administration of project works. You will assist in all phases of project deployment - from pre-deployment to post-deployment administration.

You will liaise closely with Project Managers and carry out essential tasks that enable the smooth running of all project works from start to finish.

You will have the ability to be creative, using software, to solve business administration problems.

French and/or Spanish speaking skills will be of huge advantage.


TASKS

  • Work with the Technical Managers to help develop a project plan.
  • Provide administrative support for on-field engineers.
  • Provide support in the deployment of small, medium, and large-sized projects.
  • Assist with the implementation of a project plan.
  • Liaising where necessary with Project Managers and clients over Europe.
  • Assist with stock management.
  • Provide day-to-day office services and administrative support.
  • Developing and overseeing shared diary, planning systems, and the central filing system
  • Ensure that the office space is well maintained
  • Provide general administrative assistance as requested
  • Managing company expense reports and other finance duties
  • Managing field engineers’ expense reports and general finance duties.
  • Diary management and organizing travel for on-field engineers
  • Compiling Client Requests for information and other submissions
  • Managing staff holidays.
  • Procurement.
  • Uphold confidentiality at all times regarding clients and the overall business
  • Undertake any other duties as required by the General Manager
  • Assist with the organization of internal and external events
  • Undertake any other duties as required by superiors.
  • Act as Health and Safety representative ensuring that all documents are valid and up to date, attend meetings, and provide advice and guidance when required
  • Attend Service, Team, and Admin meetings and prepare minutes for agreement by area Manager.
  • Communication with our Area Managers, Regional Managers, and Directors to ensure the accuracy of the information
  • Answering general inquiries over the phone as well as via email.


PERSONAL SKILLS

  • Good IT skills and experience with Microsoft Office suite – Word, Excel, OneNote, Outlook, and Visio
  • High level of numeracy and literacy competence.
  • Good problem-solving skills.
  • Willingness to work flexibly in response to time-sensitive customer needs, and changing organizational requirements.
  • Ability to prioritize, plan and organize work whilst in a busy environment.
  • Commitment to the ethos, values, aims, and objectives of the company.
  • Enthusiastic, with a commitment to providing a high quality and timely service.
  • Attentive to detail and willing to learn new tasks
  • Good Communication wrote and verbal.
  • Good Interpersonal Skills.
