The Administrative Assistant  is responsible for administrative duties such as receiving and making phone calls, scheduling meetings, and providing general office support to staff. The role will manage and maintain the office premises and equipment, completing maintenance requirements, calling for repairs, and maintaining equipment inventories. The role also assists with welcoming clients and visitors.
RESPONSIBILITIES include the following. Other duties may be assigned.
Provide overall administrative support to ensure efficient operation of the office which includes answering phone calls, filing, typing, copying, binding, and scanning Provide secretarial support which includes scheduling meetings, taking minutes, and writing and receiving letters on behalf of the company. Coordinate travel arrangements for staff and visitors including booking flights, cars, hotel, and restaurant reservations. Coordinate staff travel and delivery requirements with the company driver to ensure that all transport requirements are met. Manage the maintenance of the office premises by submitting maintenance requests and following up as needed. Serve as a resource by answering questions from stakeholders such as partners, suppliers, visitors etc. Maintain supply inventory by placing and ordering supply.QUALIFICATIONS
Bachelorâs degree At least 1-3 years of professional experience in administrative work. Experience working within cross-cultural organizations. Computer proficiency, knowledge of appropriate software including Microsoft Word, Excel, and Outlook, Microsoft PowerPoint, and Adobe Acrobat. Great customer care skills. Excellent interpersonal and communication skills. Ability to multi-task with great attention to detail. Passionate about Opportunityâs mission. Able to promote and communicate the organizationâs goals and objectives to external and internal stakeholders.LANGUAGE SKILLS
Written and verbal fluency in English. Must be able to attend & fully participate in meetings conducted in English.TRAVEL REQUIREMENTS
